By accessing or using VetNavigator AI's website (vetnavigator.ai) or services, you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, you may not access or use our services.
These Terms apply to all visitors, users, VSO customers ("Subscribers"), and veterans who interact with our chatbot ("End Users").
VetNavigator AI provides an AI-powered chatbot platform that helps veterans navigate U.S. Department of Veterans Affairs (VA) benefits. The service is sold to Veterans Service Organizations (VSOs) who embed the chatbot on their websites or share a hosted chat page link with their members.

VetNavigator AI is not affiliated with, endorsed by, or connected to the U.S. Department of Veterans Affairs or any government agency. We are an independent, veteran-owned company that provides general educational information about VA benefits.
The information provided by our chatbot is for general informational and educational purposes only. It does not constitute legal advice, medical advice, financial advice, or professional counsel of any kind. The chatbot provides general information about VA benefits programs, eligibility requirements, and application processes based on publicly available information.
You should not rely solely on information from our chatbot to make decisions about your benefits, healthcare, or legal matters. We strongly recommend consulting with:
Our chatbot uses artificial intelligence (Anthropic's Claude) to generate responses. While we make every effort to ensure accuracy, AI-generated content may occasionally contain errors, outdated information, or incomplete responses. Benefit rates, eligibility criteria, and VA policies change periodically, and there may be a delay between when changes take effect and when our system is updated.
Always verify benefit amounts, eligibility, and application requirements at VA.gov or with a qualified VSO counselor.
Use of our chatbot does not guarantee eligibility for or receipt of any VA benefits. Benefit eligibility is determined solely by the U.S. Department of Veterans Affairs based on individual circumstances.
VSO Subscribers must provide accurate and complete organization information during onboarding. Subscribers are responsible for maintaining the accuracy of their organization's information through the admin panel.
Each Subscriber receives a unique license key that controls access to the chatbot service. Subscribers are responsible for keeping their license key secure. License keys may not be shared, sold, or transferred to other organizations without written consent from VetNavigator AI.
Subscribers agree to use the service only for its intended purpose: providing VA benefits information to veterans and their families. Subscribers may not:
We offer multiple subscription tiers (Basic, Starter, Standard, Premium) with varying features and conversation limits. Plan details and pricing are displayed on our website and are subject to change with 30 days notice to active subscribers.
Subscriptions are billed monthly or annually, depending on the plan selected. Payment is processed through Stripe. All prices are in U.S. dollars.
Subscribers may cancel their subscription at any time. Upon cancellation, access continues through the end of the current billing period. No prorated refunds are provided for partial billing periods.
Refund requests are handled on a case-by-case basis. Requests should be submitted to ops@vetnavigator.ai and will be processed within 3-5 business days.
All content, code, design, and branding associated with VetNavigator AI are the property of VetNavigator AI LLC. Subscribers receive a limited, non-exclusive, non-transferable license to embed and use the chatbot widget for the duration of their active subscription.
VSO Subscribers retain all rights to their own organization's information (name, events, leadership, etc.) that they provide through the admin panel.
Our collection and use of personal information is governed by our Privacy Policy, which is incorporated into these Terms by reference.
TO THE MAXIMUM EXTENT PERMITTED BY LAW, VETNAVIGATOR AI LLC SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF BENEFITS, LOSS OF DATA, OR LOSS OF REVENUE, ARISING FROM YOUR USE OF OR INABILITY TO USE OUR SERVICES.
OUR TOTAL LIABILITY FOR ANY CLAIMS ARISING FROM THESE TERMS OR YOUR USE OF THE SERVICE SHALL NOT EXCEED THE AMOUNT YOU PAID TO US IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM.
This limitation applies regardless of whether the damages are based on warranty, contract, tort, strict liability, or any other legal theory, even if we have been advised of the possibility of such damages.
You agree to indemnify and hold harmless VetNavigator AI LLC, its officers, employees, and agents from any claims, liabilities, damages, losses, or expenses arising from your use of the service, your violation of these Terms, or your violation of any third-party rights.
We strive to maintain 99.9% uptime for our services, but we do not guarantee uninterrupted access. We may temporarily suspend the service for maintenance, updates, or circumstances beyond our control. We will make reasonable efforts to provide advance notice of planned maintenance.
We reserve the right to modify these Terms at any time. We will notify active subscribers of material changes at least 30 days in advance via email. Continued use of the service after changes take effect constitutes acceptance of the revised Terms.
We may suspend or terminate a Subscriber's access to the service if they violate these Terms, engage in abusive behavior, or fail to pay subscription fees. Upon termination, the Subscriber's chatbot will be deactivated and their organization data will be deleted within 30 days.
These Terms are governed by and construed in accordance with the laws of the State of Connecticut, without regard to its conflict of law provisions. Any disputes arising from these Terms shall be resolved in the state or federal courts located in Connecticut.
If any provision of these Terms is found to be unenforceable, the remaining provisions shall continue in full force and effect.
